FEATURES
- Invoices Portal (the viewing area of the data)
- Select/Select All: Choose individual invoices (or all of them at once) to delete them. This function is only available for admins when the invoice state is NOT approved (check the filters section to learn more about this).
- Action:
- Auto-approve: You can auto-approve changes on invoices for future billing cycles - synced to Xero
- Edit description: Change the description if you’d like to be more/less specific
- View more: View the entire invoice in more detail, with corresponding Stripe/Xero IDs, tax rates, tax %, etc.
- Save & approve: After you make changes to the invoice, you can proceed to save and approve it, so that it reflects on Xero
- Send Email: Have the person associated with the particular invoice get an email of the invoice.
- Information: Mentions the minimum recurring period. This typically refers to the shortest interval between recurring invoices that a business can set for its customers.
- Filters
- Stripe Status: The status of the product on Stripe(for more information, look here)
- Draft: The
draft
status indicates that the invoice isn’t ready to use. All invoices start in draft status.
- Open: The
open
status indicates that the invoice is finalized and awaiting payment.
- Paid: The
paid
status indicates that the invoice has been paid in full.
- Uncollectable: The
uncollectible
status indicates that the invoice is very unlikely to be paid, and could be considered a bad debt.
- Void: The
void
status indicates that the invoice is canceled.
- Invoice State: The status of the product on ReveniQ
- Pending: The
pending
status indicates that the invoice has yet to be opened and approved from your side of ReveniQ.
- Saved: The
saved
status indicates that the invoice has been opened, changes may have been made, but you’re not ready to approve it yet, so you leave it on saved status.
- Approved: The
approved
status indicates that the invoice has been approved from your side and it is now ready to be pushed to Xero.
- Sort:
- High to low: Order your invoices in descending order of products' stripe total.
- Low to high: Order your invoices in ascending order of products' stripe total.
- New invoices: Arrange your invoices from new to old (the newest being at the top, and the oldest being at the bottom).
- Last modified: Sort your invoices from most recently modified to earliest invoices (the most recently modified being at the top, and the oldest being at the bottom).
- Period: Want to narrow your portal view between a set timeframe? Choose the dates of your liking.
- Search Panel: Looking for a specific customer, or a specific product? Narrow your search view with the search bar.
- Hamburger Menu
- Import Stripe Invoices: Enter the start and end dates and import additional stripe invoices (recent or historical).
- Export: Export the portal data onto your systems in a CSV format.
- Fetch Stripe Invoice: Want to fetch a single stripe invoice to your portal? Enter the Stripe ID and do so in a jiff.
BENEFITS
- Get all your Stripe invoices populated in the Invoices tab for revenue reconciliation.
- Edit products on an invoice → The changes are synced to Stripe & Xero.
- Auto-approving feature allows you to immediately approve an edit for the current billing cycle, and push it to Xero.
- Pro-rata data points are taken care of - typically, each prorated charge is included individually on the invoice, making for a tedious read. With ReveniQ, the prorated charges are consolidated into a single line in the invoice, making it easier for the finance team to read the invoices.
